Terms & Conditions of Therapy

Applicable from: December 2022

If you continue to access and use yoohoo Speech and Language Therapy Ltd, you are agreeing to comply with and be bound by the following terms and conditions of therapy, which together with the Terms and Conditions of Service and Privacy Policy govern yoohoo Ltd relationship with you in relation to therapy. If you disagree with any part of these terms and conditions, please do not use this service. 

Please note completion of an assessment or attending any initial session is deemed acceptance of all yoohoo Speech and Language Therapy Ltd Terms and Conditions.

Initial Screen £125

This is a mini assessment package, which is scheduled to last up to one hour. This is only recommended for families and children where the speech production need is very specific (for example producing the sound /k/ as a /t/) or for very young children (2 to 3 year) where the Teddy Talk Test will be used. Verbal feedback and recommendations will be provided. No report is offered with this package.

Standard Speech Production Assessment £200

This is an assessment package scheduled to last up to one hour and thirty minutes.  It typically includes assessment of speech sound production, oral motor skills [lips, teeth, tongue, airstream and voice], sequencing of speech sounds and sentence production. Verbal feedback and a short, summary will be provided. This will indicate whether therapy may be able to help, and how.

Standard Language Assessment £300

This is an assessment package scheduled to last up to one hour and thirty minutes. It typically includes assessment of understanding spoken language, use of spoken language, vocabulary, memory and processing. Verbal feedback and a short, summary report/email will be provided. This will indicate whether therapy is able to help, and how. Should a fuller, more formalised report be required an additional cost will be incurred. Bespoke Language Assessment £950

This assessment package is scheduled to last up to three hours. It is highly recommended for those requiring a thorough and comprehensive assessment of their child’s speech, language and communication needs. This package provides: completion of formalised assessment(s), detailed analysis of results and a bespoke report.

Adaptations to this package can be discussed at the discretion of the named therapist (for example, a series of 3-hour sessions).

yoohoo! therapists are not medico-legal trained or qualified. As Tribunals require specialist skills, yoohoo Speech and Language Therapy Ltd request that should you seeking an assessment for this purpose you contact a medico-legal trained therapist.

Standard Therapy Session £70

This can occur at your home, nursery or school. Each session lasts approximately 45-60 minutes. The fee includes time spent planning and talking with the parent/carer and/or liaising with other professionals.

Mini Therapy Session £40 

This can occur at your home, nursery or school. Each session lasts approximately 30 minutes. The fee includes time spent planning and talking with the parent/carer and/or liaising with other professionals.

Should specialist resources or equipment be required (such as DVDs, sensory toys, oral motor tools etc.) yoohoo! can purchase these on your behalf but payment will be expected.

 

Standard Report £20 plus standard hourly rate.

A standard report will document assessment results, indicate level of need and offer recommendations, as required.

Bespoke Report £45 plus standard hourly rate

A bespoke report can offer full assessment findings, implications, summary of need, recommendation of support and outcomes. A bespoke report would be recommended for families, nurseries or schools going through the Education, Health and Care Plan  process.

Treatment Plans £15 plus standard hourly rate

These documents recommend activities, targets and or intervention.

Letters £10 plus standard hourly rate

Meetings £70 per hour

Speech and Language Therapy Assistant Session £30

This will occur at our clinic near Tonbridge. Each session lasts approximately 30 minutes.

Travel

Travel, made by the therapist/assistant will be charged at £1 per mile to cover expenses and travel time. Journeys made within a 5-mile radius of yoohoo! base will not be charged.

Telephone conversations

Any telephone support is given free for the first 15 minutes. After this however, yoohoo! reserve the right to charge £10 per 15 minutes or part thereof.

Payment

Most sessions are settled on a “pay as you go”. An active email address will be requested/required as yoohoo! aims to email invoices.

NB If you are claiming from private health insurance it is your responsibility to settle the account and then reclaim from the insurance company.

Cancellations

We understand that sometimes appointments must be cancelled. We would ask that you could give yoohoo! as much notice as possible. In turn, should a yoohoo! therapist need to cancel a session, they would also let you know as early as possible. If a cancellation is received within an hour of an appointment or no notice of a cancellation is received, and the therapist has already travelled/therapy room has been set up, half the session fee and travelling costs will be charged.

If your child is unable to attend their therapy session at school (e.g. owing to illness or a school trip), it is your responsibility to inform yoohoo! therapist directly. Failure to do so will incur half the cost of the therapy session and travel expenses/time for the visit.

 

Liaison with other Health Professionals

It is important to exchange information with other independent or NHS health professionals who are involved with your child. yoohoo! therapists like to liaise with other professionals where possible as this enables us to work together in harmony to provide the therapy your child needs. Through giving consent for yoohoo! therapist to liaise with other independent or NHS therapist you in turn give permission for them to share information with yoohoo! Speech and Language Therapy Ltd. Engagement of the yoohoo! therapist is confirmation of this consent.

Liaison with external agencies and education staff

When working onsite in a nursery/pre-school and school it is natural for liaison to occur via conversation, reports and therapeutic resources. Through agreeing for a yoohoo! therapist to support your child at a nursery/pre-school and school you are in turn providing consent for these forms of liaison to occur. Engagement of the yoohoo! therapist is confirmation of this consent. 

Through agreeing for your child to be seen by a yoohoo! therapist you authorise other professionals/agencies to share information about your child with yoohoo Speech and Language Therapy Ltd in the interest of ‘best care’ for your child.

 

Safeguarding

yoohoo! therapists adhere to the safeguarding policy for any site they work in (nursery/school). It is yoohoo’s policy to follow nursery/school’s procedure and therefore report to the nursery/school safeguarding officer.

First Aid

yoohoo therapists adhere to the first aid policy for any site they work in (nursery/school). It is yoohoo’s policy to follow nursery/school’s procedure and contact the named first aider on site, as required. At homes, it is deemed that first aid is the responsibility of the child’s primary carer present at the visit. Not all yoohoo! therapists are trained first aiders.

Data Protection 

Personal data held by yoohoo! will be stored safely. Client confidentiality will always be observed. 

Data stored by yoohoo therapy is purely kept for purpose of achieving good therapeutic intervention and accounting. yoohoo strives to adhere to fair and lawful processing of data. Paper records are stored securely in locked units, soft copies on password protected devices and contact details in a secure cloud-based storage system.

Data Processors are yoohoo’s Associate Therapists, Assistants and contracted bookkeeper & accountant.

As the Data Subject you have a right to withdraw your consent at any time. However, should this consent be withdrawn yoohoo Speech and Language Therapy Ltd may not be able to offer therapy support and intervention. The case will be closed.

Allowing yoohoo Speech and Language Therapy Ltd to have an active involvement with your child will be deemed as a clear, affirmative action signifying agreement to the process of storing personal data.

Complaints Procedure

To maintain a high standard of service, and for your protection, yoohoo! therapists are members of the Association for Speech and Language Therapists in Independent Practice (ASLTIP), the Royal College of Speech and Language Therapists (RCSLT) and the Health and Care Professions Council (HCPC).

Should you have any cause for complaint, please do contact yoohoo! and the team will do their best to resolve the matter.  If you are still not satisfied, you can contact the Association of Speech and Language Therapists in Independent Practice (ASLTIP) who will offer to help us reach a mutually agreed resolution. If you still feel you have cause for complaint, you can make a formal complaint to the regulating body, the Health and Care Professions Council (HCPC).  The contact addresses for these bodies are:

Please call yoohoo! at any time if you have a query. If the call cannot be taken a yoohoo! therapist will endeavour to return your call as soon as possible – usually within 24 hours. 

Onsite working funded by nursery or school

Fees

yoohoo Speech and Language Therapy Ltd has agreed fees for therapy. These can be found in Terms and Conditions for Therapy.

Alternative fees arranged by a nursery or school should be 1) verbally agreed with the therapist 2) recorded either via email or letter and 3) followed up via invoice.

All interventions provided (i.e. reports, direct therapy, assessments etc) must be paid for. Should therapy input be terminated or discontinued any outstanding payments must still be paid in full.

Consent

It is expected that nursery or school staff will have gained consent from a child’s parent or carer prior to any contact from the therapist. Invitation of the therapist onsite and/or receipt of payment from the nursery or school relating to therapy sessions will be confirmation of this agreement.

Authorisation is given for other professionals/agencies to share information about a child with yoohoo Speech and Language Therapy Ltd in the interest of ‘best care’ for the child.

Rooms

It is appreciated that room space can be very tight within schools. However, it is expected that, on agreement for a therapist to work on site, nursery or school staff will arrange an appropriate working space.

Case Notes Storage

In most instances the therapist will be responsible for safe storage and retention of case notes off site. Should notes need to be kept on site these must be stored in a lockable, fire-resistant filing cabinet. Only agreed individuals should have access to the key. This key must be stored securely, especially overnight.

Sharing Data and Confidentiality

Any information relating to the child (i.e. read or discussed with the therapist) is bound by confidentiality. This information is not to be shared with others external of the team around the child. Within any correspondence (e.g. text, email, note), unless accepted to be secure and safe, the child should be referred to by their initials.

Should information be required relating to a child (for example for reviews or application for EHCP) this can be shared via target sheets and/or reports. A request for these can be made directly with the therapist. Please note a fee may be charged for reports and target sheets.

Case notes are the property of the therapist. To read or access these, a written request must be made to yoohoo Speech and Language Therapy Ltd. Sharing of information will be in line with the Freedom for Information Act.

Case notes and retention 

All notes kept by the therapist are the property of the therapist. On completion of therapy, or termination of the therapist’s involvement, the nursery or school will not have a direct right to access or keep case notes/files.

Cancellations

We understand that sometimes appointments/visits must be cancelled. We would ask that you could give yoohoo! as much notice as possible. If a cancellation is received within an hour of an appointment or no notice of a cancellation is received, and the therapist has already travelled, half the session fee and travelling costs will be charged.

Unfortunately, illnesses do occur. Therapists will contact the nursery or school directly should they need to cancel a visit. How this time is made up will be at the discretion of the therapist and nursery/school. Where possible an additional visit will be offered. However, if visits are weekly, this may not be practical.

If an illness is long term and the therapist is unable to offer therapy the agreement between the therapist and school will be terminated at that point.

Safeguarding

Therapists adhere to the safeguarding policy for any site they work in (nursery/school). It is yoohoo’s policy to follow nursery or school’s procedure and therefore report to the nursery or school’s safeguarding officer.  

It is requested that the nursery or school forward a copy of the relevant policy to yoohoo Speech and Language Therapy Ltd.

First Aid

Therapists adhere to the first aid policy for any site they work in (nursery/school). It is yoohoo’s policy to follow nursery or school’s procedure and contact the named first aider on site, as required. Not all yoohoo! therapists are trained first aiders.

It is requested that the nursery or school forward a copy of the relevant policy to yoohoo Speech and Language Therapy Ltd.

Health and Safety

Therapists agree to abide by the nursery or school’s policies. Each therapist will endeavour to familiarise themselves with the nursery or school’s documents and follow agreed procedures.

Tribunals

yoohoo! therapists are not medico-legal trained or qualified. As Tribunals require specialist skills yoohoo Speech and Language Therapy Ltd request the nursery or school involve an alternative medico-legal trained therapist to support Tribunals.
